Creating and Managing AI Assistants

This article will guide you through the process of creating, managing, and editing AI Assistants (AI Agents) within the FlyTask dashboard. By following this guide, you will be able to set up AI Agents to automate tasks, retrieve information, and enhance productivity across your organisation.

What is an AI Assistant?

An AI Assistant is a customised virtual assistant within FlyTask, designed to perform specific tasks or provide insights based on user-defined parameters. These agents leverage artificial intelligence to analyse documents or web content, answer queries, and deliver targeted information. By creating an AI Agent, you can streamline processes, automate information retrieval, and enhance productivity across your organisation.



Create an AI Assistant

Creating an AI Agent in your FlyTask dashboard is a straightforward process. Follow these steps to set up your AI Agent:

  1. Access the AI Assistant:

    • Navigate to the "AI Assistants" section on the left-hand menu of your dashboard.
  2. Go to Home:

    • Click on the "Home" option within the AI Assistant tab to access the main AI Assistant interface.
  3. Create a New AI Agent:

    • Click on the "+ New AI assistant" button located at the top of the AI Assistant home page.
    • Enter a descriptive name for your AI Agent in the prompted field and click "Save."
  4. Upload Documents or Submit Web Addresses:

    • Click on the upload button (⬆️ icon).
    • This will open the Knowledge Base.
    • Click on Click to upload or drag and drop or simply drag and drop files from your computer.
    • Select the documents you want to upload and confirm the upload.
    • The documents will appear in the My Documents section.
    • Select the documents you want to associate with the AI Assistant and click Move to AI Assistant.
    • Finally, click Save & Embed to save the changes.
  5. Configure Agent Parameters:

    • General Settings: Set the agent's name and add any suggested chat messages.
       
    • Chat Settings: Define the chat mode (Chat or Query), set the chat history length, customise the prompt for the agent, and set the query mode refusal response and LLM temperature.
       
    • Vector Database: Configure the vector database identifier, max context snippets, and document similarity threshold. You can also reset the AI agent vector database if needed.
       
    • Agent Configuration: Toggle settings for default agent skills such as RAG & long-term memory, viewing & summarising documents, scraping websites, and generating & saving files to the browser.
       
  6. Review and Save:

    • Review the configuration settings for your AI Assistant to ensure everything is set up correctly. Click "Save" to create your AI Assistant.
  7. Start Using Your AI Assistant:

    • Once created, your AI Assistant will be ready to use. You can start asking questions, and the AI Assistant will respond based on the configured parameters and uploaded content.

 


 

Managing and Editing AI Assistants

After creating your AI Assistant, you may need to manage or edit its settings to ensure it continues to meet your needs. Here's how you can manage and edit your AI Assistant:

  1. View AI Agents:

    • Go to the "AI Assistants" section within the AI Assistant dashboard to see a list of all your created agents.
  2. Edit AI Agent:

    • Select the AI Assistant you want to edit by clicking on the settings cog icon next to its name.
       
    • Adjust the settings in the General Settings, Chat Settings, Vector Database, and Agent Configuration tabs as needed.
  3. Update Agent Parameters:

    • Make any necessary changes to the parameters, such as updating the document list, changing keywords, or adjusting the focus areas. You can also rename the AI Assistant if needed.
  4. Save Changes:

    • After making the desired changes, click "Save" to update the AI Assistants configuration.
  5. Delete AI Agent:

    • If you no longer need an AI Assistant, you can delete it by selecting the agent and clicking the "Delete AI Assistant" button. Confirm the deletion to remove the AI Assistant permanently.
  6. Monitor Agent Activity:

    • Keep track of your AI Assistants performance by monitoring the questions asked and the responses provided. This can help you refine the agent’s parameters for better accuracy and relevance.
